For conference airport transfers in Copenhagen, to move delegates efficiently, group them into arrival waves by landing time (not one coach waiting all day), match vehicle size to each wave (V-Classes for small waves, Sprinters and coaches for peaks), place a greeter in the Terminal 3 arrivals hall, track every flight live, and keep spare capacity for delays. For 150 delegates arriving over one day, that typically means 6–8 waves using a mix of coaches, Sprinters and V-Classes.

This guide is a worked example built from how we plan real conference arrival days. The numbers are illustrative, based on a typical international congress at a Copenhagen venue with delegates arriving from across Europe, the US and Asia on the day before opening. If you’re planning an event, use it as a template, and see our group transfer checklist for conference organisers.
Step 1: analyse the flight list
We start with the registration export: names, flight numbers and hotels. For 150 delegates arriving on one day, a typical pattern looks like this:
| Window | Delegates landing | Mostly from |
|---|---|---|
| 07:00–09:00 | ~20 | Long-haul overnight (US, Asia via hubs) |
| 09:00–11:00 | ~35 | European morning flights |
| 11:00–13:00 | ~25 | Europe, Middle East |
| 13:00–16:00 | ~40 | Europe peak |
| 16:00–19:00 | ~20 | Europe, domestic |
| 19:00–23:00 | ~10 | Late arrivals |
Step 2: build the waves and vehicle mix
- Small waves (under 7 people): V-Classes, dispatched as each group clears customs.
- Medium waves (8–19): a Sprinter, with a V-Class on standby for late or split groups.
- Peak waves (20–50): a coach timed to the middle of the landing window, plus a V-Class to “sweep” delegates who miss it.
- VIPs and speakers: dedicated cars (EQS or S580), independent of the waves.
Waiting coaches are expensive and frustrating for delegates who land first, so the rule is: no one waits more than about 30 minutes after clearing customs.

Step 3: staffing at the airport
- A greeter at the Terminal 3 arrivals barrier with the event’s branded board throughout the arrival window.
- A dispatcher (on site or remote) tracking every flight and releasing vehicles as waves form.
- A shared manifest, updated live, so the event team knows who has arrived and who is on the road.
Step 4: contingencies
- Delays and cancellations: re-slot the affected delegates into later waves automatically.
- Lost luggage: a V-Class sweeps up anyone held at the baggage desk.
- Missed greeter: every delegate receives the dispatcher’s WhatsApp number before travel.
- Weather: in winter, allow extra time on the roads and keep one spare vehicle.
Step 5: the result
With this plan, the example day uses about 1 coach, 2 Sprinter runs and 10–12 V-Class runs, plus dedicated VIP cars. Delegates wait under 30 minutes after customs, and nobody takes a taxi on expenses. Compared with booking one large coach to wait all day, waves usually cost less and give a far better first impression. For events with sustainability goals, most V-Class runs can be done in electric EQVs.
“They were able to arrange everything so well, even though I contacted them the last minute, a day before the event, where I had to arrange transportation for 15 people. The communication was excellent, the car in perfect condition and the payment system super easy to handle!”

Frequently asked questions
How do you plan airport transfers for a conference in Copenhagen?
Group delegates into arrival waves by landing time, match vehicle sizes to each wave, place a greeter in the arrivals hall, track all flights live and keep spare capacity for delays.
Is it cheaper to book one coach or several smaller vehicles?
For arrivals spread across a day, several smaller waves are usually cheaper and better than one coach waiting for hours.
How long should delegates wait after landing?
A good plan keeps waiting under about 30 minutes after delegates clear customs.
Can you import our registration data?
Yes. We work from your registration export with names, flights and hotels, and update it live.
Can conference transfers be done in electric vehicles?
Yes. Many small-wave and VIP runs can use electric EQVs and EQS, which helps events with sustainability targets.
